Seven Orthodontext Best Practices

1.) Adding patients efficiently with the Practice QuickLink
The best method to add patients is to use the red practice links under Admin →Settings →CustomBranding. One link is for patient registration and the other link is for patient login. No need to remember login emails addresses and passwords. Just click the link and go! Here are some of the places the links can be used:
  1. Place the links on your practice's website for easy access Admin->Jumpstart, and send the sample email to your webmaster . One click and the patient registration form will be presented. Patients can even sign themselves up. As a bonus, this feature drives traffic toyour practice website.  See video example:  Using QuickLinks Video.
  2. If your practice uses iPads, Admin->Settings->CustomBranding, open the red QuickLinks and add it to your homescreen.  create an icon with the link embedded. Once the iPad icon is configured, just hand the patient the iPad and let them register themselves. How to video to configure a QuickLink on your iPad.
  3. If your practice uses chairside computers, you can add these QuickLinks to your desktops.  Video on how to add QuickLinks to your desktop using Internet ExplorerSafariGoogle Chrome, Firefox
  4. Email the link to patients and they can register themselves from a desktop or mobile device, Admin->Jumpstart, and send the sample email to all of your patients.

2.) Use Dynamic Reminders to keep your messages fresh

Dynamic Reminders are one of the most powerful features of Orthodontext.  Dynamic Reminders randomly rotate through a list of selected messages. They can be used to inspire, reinforce good brace care and even add humor. Best of all, Orthodontext provides a large library of pre-loaded messages to get you started in minutes. Patients love this feature! Dynamic Reminders are located in Admin →Reminders →Dynamic Reminders. Click on the 'Add Dynamic Reminder' button. Follow the instructions on the right. We will be glad to create an example Dynamic Reminder or walk you through the process.

3.) Add a notification email
 address for your practice
In Admin Settings Notifications, there is a place to add one or more email addresses. This is how Orthodontext will forward messages from your patients to your practice. This allows your practice to easily keep track of when patients STOP or START their messages. 

4.) Don't overload patients

We recommend two or three reminders as a maximum unless the patient requests more. Daily messages add up fast. Use OrthoTrainer™ if needed.

5.) Use OrthoTrainer™ to reduce message fatigue

As patients learn the new behavior, they don't require as many reminders. Instead of disabling patient reminders, use OrthoTrainer™. OrthoTrainer™ will randomly send reminders at the requested times. The feature has settings of 5%, 25%, 50% 75% and 100%. At 5%, the patient will only receive one out of twenty messages(5% of the scheduled reminders). OrthoTrainer™ is located on the new and update patient screens. Patients can also simply reply with "level up" or "level down" to increase or decrease messages respectively. OrthoTrainer™ is a great way to apply just the right amount of help! 

6.) Add some excitement with Patient Rewards

You can add some excitement to the messages by using patient rewards under Admin →Settings →Rewards to start a contest. Orthodontext can manage your contest for you. Select a popular prize, for example a Starbucks card, iTunes card or an existing practice reward. Tell Orthodontext how many you would like to award and how many to award each month. Othodontext will randomly replace a normal reminder with a winning reminder and notify the practice of the lucky patient. Some practices just say in the winning message "You have won! Call us to find out your prize!"

7.) Use Smartphone formatting

 If the patient has a Smartphone, click the Smartphone checkbox on the new or update patient screen for a more appealing format.
